The Workday release on Saturday, September 9 was successfully completed. This release included an updated Workday Inbox, with new search functionality and other improvements, as well as minor changes to recruitment and purchasing processes. Workday Inbox is Now ‘My Tasks’
The Workday Inbox, where faculty and staff find items awaiting their action, has now been renamed My Tasks. My Tasks offers many new and improved features to help you manage your tasks, including:
- Ability to search inbox as well as use advanced search and save searches for future use.
- More visibility on filters, making it easier to find and apply standard and custom filters.
- A collapsible side menu with quick access to manage delegations and bulk approval.
- New options for how to display tasks and view dates.
Any custom filters you previously created will still be available, and will appear in the side menu.
My Tasks will be especially useful for faculty and staff who have high volumes of tasks in Workday.
Note: This update only affects the Workday Inbox. There will be no changes to notifications in Workday.

New Homepage Card: You Have Expenses That Need Attention
A new card will now appear on your Workday homepage under Awaiting Your Action. The 'You Have Expenses That Need Attention' card will display when you have expenses-related items to complete in the Expenses Hub. For example, you will see this card if you have a draft expense report that needs to be submitted or cancelled.
Additional items may be added to the Awaiting Your Action section in future.

More Filtering and Sorting Options When Editing in Purchasing Processes
When editing Purchase Requisitions, Purchase Orders and Change Orders, it is now easier to find, filter or sort certain line items. Information previously grouped together such as Item, Purchase Item, Supplier, Order-From Connection, etc., now appears in separate columns.
Additionally, the Item Description and Spend Category fields now have sorting and filtering capabilities when in editing mode.

Drag and Drop Functionality Enabled for Change Job Attachments
When uploading attachments in Workday as part of the Change Job process, you can now easily drag and drop files from a folder, instead of navigating to documents through Workday
Additionally, the attachments section now appears on the Summary page at the bottom of the screen under the comments section, instead of the previous Attachments tab. This will help prompt you to upload and categorize any attachments you may need before completing the process.
Automated Messages to Candidates When Job Requisition is Closed Without A Hire
After closing a job requisition in a situation where no one was hired, Workday will now automatically send the standard email message to all candidates in the Application Received and Screen stages of the process informing them that UBC is not moving forward with hiring for the position.
This will save the Primary Recruiter on the job requisition having to manually decline candidates to ensure they are notified of their application status. Primary recruiters can still choose to send an automatic email or not by declining desired candidates manually before closing the requisition.
Candidates can see changes to their application status directly in their Candidate Home account as soon as the job requisition is closed.
Ability to Add Internal Candidate to a Job Requisition without an Active Job Posting
In cases where an internal candidate did not successfully apply to a job posting before it closed, Managers and HR administrators can now add an internal candidate to a job requisition that is still open but does not have an active job posting on a UBC careers website (i.e. application deadline has passed).
This option is useful when candidates have difficulty applying online, recruiters choose to accept late applications, or someone was not aware they needed to reapply for their current position. This ability already existed for external candidates.
Previously, a position would have to be posted/re-posted on a UBC careers site to be able to add the candidate(s) to the Job Requisition. Once added, the position would then have to be un-posted. This change will save time by allowing the candidate’s application to be added without having to post/repost and then remove the job posting from UBC careers website.
Ability to Save Education Information from an Internal Job Application to Your Workday Profile
When a current UBC employee applies for a new job internally, any updates made to Education information directly on the internal job application can now be saved back to the employee’s Workday profile. The updated information will then be automatically filled in on their next job application.
Note: Adding education information to a Workday profile is optional. When applying to a position with a resume and/or cover letter, it is recommended to include education details there as well as on your Workday profile.
Updates to the Requisitions Application
Those who use the Requisitions Application to manage a high volume of purchase requisitions, will see some changes to support efficiency and visibility.
When creating a new requisition, information from your last submitted or saved requisition (within the past three months), such as Deliver-To, Ship-To, Requisition Type, etc., will now automatically appear in those fields to reduce the need for manual entry. If the new requisition requires different values in these fields, click ‘Reset to Default’ and update as required.
Also, when filtering, the From date will now have a default value of six months ago. When using Advanced Checkout, requisitions can now be filtered by line item attributes (for goods only), and there is a new grid view that makes it easier to find information when there are many lines.
Note: The Requisitions App is recommended for faculty and staff who regularly create and manage a high volume of purchase requisitions.
